When you place an order with us, we may collect the following information from you:

- Your WhatsApp / phone number
- Your email address (optional)
- Delivery address (if applicable)
2.2 Order details
- Box type and size selected
- Occasion the box is for
- Date the box is needed by
- Collection or delivery preference
- Any notes or special requests
2.3 Personalisation details (only for The For-Her Box and The For-Him Box)
To curate a personalised box, we ask a small number of additional questions about the person you're gifting:
- Their name
- Their relationship to you
- Words that describe them
- Their scent / cologne preferences
- Their food preferences (For-Him only)
- Any allergies, sensitivities, or "no-go" items
- Their general "vibe" or style preference
This information is used solely to help us curate a thoughtful box and is not used for any marketing or other purpose.
3. How We Collect Your Information
We collect information directly from you when you:
- Submit the order form on our website (pearlynails.co.za/order.html)
- Place an order via WhatsApp
- Place an order via Instagram direct message
- Communicate with us by email or phone
We do not collect information from third parties.
4. How We Use Your Information
We use your personal information for the following purposes, and no others:
- To fulfil your order — process payment, curate your box, and arrange collection or delivery
- To communicate with you — confirm your order, send banking details, share progress updates, and respond to queries
- To comply with our legal obligations — including record-keeping for tax purposes
- To improve our service — anonymised feedback may be used to refine our offering
We will never sell your information, send unsolicited marketing without your consent, or use your information for purposes other than those listed above.
5. How We Store and Protect Your Information
Your personal information is stored:
- In our secure WhatsApp Business account (encrypted end-to-end)
- In our password-protected email and order management system
- In our offline records (for tax and accounting purposes)
We take reasonable steps to safeguard your information against unauthorised access, loss or disclosure, including using strong passwords, two-factor authentication where available, and limiting access to information only to the operator (Meagan Pero).
6. How Long We Keep Your Information
- Order details and contact information: retained for 5 years for tax and accounting purposes, as required by South African law.
- Personalisation details (about the person being gifted): deleted within 60 days of order completion, unless you ask us to retain them for future personalised orders.
- Marketing-related data (if you've opted in): retained until you opt out.
7. Sharing Your Information
We do not share your information with third parties, except in the following limited circumstances:
- Couriers and delivery services — when you opt for delivery, we share only the necessary delivery information (name, address, phone number) with the chosen courier.
- When required by law — we may disclose information if required to do so by South African law or by a valid request from a regulatory authority.
8. Your Rights Under POPIA
As a data subject under POPIA, you have the right to:
- Access the personal information we hold about you
- Correct any information that is inaccurate or out of date
- Request deletion of your information (subject to our legal record-keeping obligations)
- Object to the processing of your information
- Withdraw consent at any time
- Lodge a complaint with the Information Regulator of South Africa if you believe we have not handled your information properly

9. Cookies and Website Tracking
Our website does not currently use cookies for tracking, advertising or analytics. Standard server logs may record technical information (IP address, browser type, pages visited) for security and operational purposes only.
10. Children's Privacy
Our services are intended for adults (18 years and older). We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us so we can delete it.
